General Terms & Conditions

Enrolment at The Little Gym Westfield

New members are welcome to join at any time during the season subject to
availability of space in classes. The Little Gym Westfield operates a continuous
enrolment policy. Termination requires a 1 month payment written notice
received via email. Your child may be recommended moving up to another class
at any time in the season based on age and subject to class availability and this
being agreed via email.

Annual Family Membership Fee

The annual family fee to join our programme is £50. As a member of The Little
Gym Westfield, your family is entitled to benefit from our Make-up Policy,
discounts on Birthday Parties, discounts on Holiday Camps, drop in
classes/Practice Time during school holiday and 1 hour free Westfield car parking.
This annual membership fee covers all siblings enrolled. The Family Fee must be
paid prior to enrolment. Joining fees are non-refundable.

Monthly Fee Payments

Our monthly payment plan for classes at The Little Gym Westfield is based on a
season consisting of 38 weeks of classes (W/C 1st September 2025 – 19th July
2026).

The Little Gym Westfield will be closed for one week at Christmas and one week
at the end of the summer for training/premises works purposes. Camps will run
during one week in the October Half Term, one week at Christmas, one week in
the February Half term, two weeks at Easter, one week in the May Half term and
six weeks in the Summer.
Members are not charged for these 12 weeks. Our monthly fee is calculated on 38
classes, and divided by 11 monthly payments (we do not take any payment in August).

Cancellation Policy

A written 1 payment month notice must be given to leave our programme and to
terminate your account. Any payments set within your notice period will be
taken, and you will be able to attend classes until the end of this period.Joining
fees and unused make-up classes are non-refundable. Accounts may be frozen
and credit used for other purchases in exceptional circumstances, such as injury.

Make-Up Policy

Classes cancelled due to illness or holidays may be made up during your child's
enrolment within the same season that they were accrued. Notification via email
must be received by 9:00 am on the day of the class to qualify or prior. Classes can
be used to attend another class of the same type depending on class availability.
Make-up classes can also be used toward attending our holiday camp sessions (3
make up classes are equal to one 3 hour camp). A limited quota of 4 spaces are

available in all camps for make-up swaps, and they will be allocated on a first-
come, first-served basis. Make up classes are valid until your last day of enrolment
at The Little Gym Westfield. Unused make up classes hold no monetary value and
cannot be refunded.

Force Majeure

The Little Gym Westfield shall not be held liable for failure or delay in the
performance of its obligations regarding the membership to The Little Gym
Westfield products and services if such performance is delayed or hindered by
the occurrence of an unforeseeable act or event which is beyond the reasonable
control of The Little Gym Westfield ("Force Majeure Events"). Acts or events
constituting Force Majeure Events shall include, but not limited to, Act of God,
government intervention, directives, policies, change in the law, epidemic and/or
pandemic, natural disaster, strikes, war or terrorism. The party affected by a Force
Majeure Event shall notify the other as soon as soon as reasonably practicable
after commencement of a Force Majeure Event.”

Policies

Clothing

Children should wear comfortable clothing and must be barefoot to maximise safety and freedom. Jewellery, food, and chewing gum are not permitted in the gym. Adults entering the gym are asked to remove their shoes (adults may wear socks). The Little Gym is not responsible for lost or stolen items.

Class Observation

Parents, siblings, and guests are always welcome to observe classes from the lobby. Siblings are not permitted to participate in class activities unless they are enrolled in that class.

Responsibilities

We make every reasonable effort to ensure the safety of children in the gym and while they are in the lobby. Parents or carers are responsible for the safe entry and exit of their children and for the behaviour of siblings in the lobby. Whilst The Little Gym Westfield will review emergency contact details and act periodically to update these details it is the responsibility of the parent to complete this prior to the first day of classes and to notify The Little Gym Westfield of any changes.

Behavioural Issues

If a child is being disruptive, destructive, or dangerous to themselves, other children, or staff members during class or special events, we will make every effort to work with parents and the child in question to resolve this behaviour. If the behaviour persists or other undesired behaviours develop, the child in question will be asked to take a break from the class or event.

OFSTED approved camps

Our half day holiday camps are OFSTED registered and parents are required to complete the appropriate paperwork prior to the camp. Please see our OFSTED policies in the gym.

Closed Circuit Television with Video (CCTV)

We operate CCTV throughout our premises for the safety, security and
safeguarding of our members, guests, & teachers, and for training our teaching
team. By joining our classes, camps or attending a birthday party or event,
individuals agree to be captured on CCTV. CCTV is not, and will never be,
published externally with the knowledge of our staff. If called upon by the police
to provide CCTV footage, we will need to abide by any mandatory requests by the
Police (or another government body) to provide CCTV footage. We always do our
best to follow GDPR in relation to data collected (written, video or audio) within
our premises.

Camps Terms & Conditions and Policies

Camp Bookings

Camps must be booked in advance. Camp fees must be paid at the time of booking. No booking is confirmed until payment is received. Camps enrolment form must be filled in and signed digitally by the customer, and returned via email within 24 hours of receipt and prior to camp or The Little Gyms Westfield reserve the right to cancel and re-allocate your booking with no refund or credit due. The Little Gym Westfield reserves the right to alter camp arrangements in line with government body guidelines.

Cancellations & Refunds

Camps are non-refundable and class credits applied to camps will not be refunded in the event of cancellation. While customers can choose to cancel camps in writing via westfield@thelittlegym.co.uk, no credits or refunds can be offered for cancelled camps. Staff scheduling is determined in advance and therefore cannot adjusted for cancellations.

The Little Gym Westfield reserves the right to cancel camps if there are less than 8 children booked into the camps for that week. In the event of cancellation by The Little Gym Westfield, a full refund will apply or where class credits have been used these will be added back to your child’s account.

Camp Observation

To optimise health & safety, and safeguarding for all children, carers and teachers, The Little Gym camps are strictly drop-off only. Parents, siblings, and guests are not permitted to remain on the premises.

Responsibilities

We make every reasonable effort to ensure the safety of children in the gym. Parents are responsible for children’s safety in the car park and entry/exit areas. Parents/guardians are responsible for the safe entry and exit of their children from the property. No responsibility is taken for personal belongings within any area of our premises, including the car park and buggy store. Please protect our children — no nuts to be brought on-site.

Behavioural Issues

If a child is being disruptive, destructive, or dangerous to them self, other children, or teachers we will communicate with parents and the child to resolve this behaviour. If the behaviour persists or other undesired behaviours develop, the child will be asked to take a quiet break. If the behaviours continue, we will notify the parent and a decision will be made on whether the child needs to temporarily take a break from camp. No refunds or credits can be provided in this instance. We reserve the right to refuse entry to camp if we suspect a child is unwell. No refunds or credits can be issued for children unable to attend their camp.

Clothing

Children must wear sports clothing and be barefoot to maximise safety and freedom in the Gym. No jewellery or food in the gym. Earrings must be taped. Please no dresses, skirts, jeans or tights. Children should bring a ‘Kit Bag’ for their belongings at camps. Shoes are to be removed and stored in the foot lockers.

Food & Refreshments

Please ensure your child brings a water bottle marked clearly with their name, and a healthy snack (nuts prohibited). No food can be provided by The Little Gym Westfield in line with current Health & Safety observations.

Specific Terms & Conditions for Infectious Diseases and Covid-19

Customer Public Health Obligations

We follow strict health and safety guidelines to protect our customers, staff, and the local community. In line with guidance from Public Health England, we ask that any child with a fever of 37.7 or higher stay home and refrain from attending the gym. Parents must keep children home from The Little Gym activities if they have cold or flu symptoms, including but not limited to a fever, headache, nasal congestion, rash, cough, extreme fatigue or any other sign of illness. If children develop signs of illness during a The Little Gym activity, parents will be called and children must be collected as soon as possible by parents. We reserve the right to refuse entry to a The Little Gym activity if we suspect a child is unwell. If you or a member of your household, or a person with whom you have had recent contact (including track and trace), develops Covid-19, your family must refrain from joining The Little Gym activities for 14 days from the point of exposure or diagnosis in order to protect our customers, staff and the local community.
